Why Sri Lanka works for this offsite

The same reasons that made this an easy call for the annual offsite before still hold for 2027 — a short flight for every market you're flying in from, dependable weather, and a coastline with enough five-star scale to hold the group in one place.

~1.5 hrs from Bengaluru, ~3.5 hrs from Delhi, and a single-stop routing for the Poland group — everyone can land the same morning.

THE SHORTLIST

Two options, after scanning the coast

We looked at properties across Negombo, Galle, Mirissa/Weligama, Bentota and Kalutara against three tests: can it hold 220 guests in one ballroom, does the resort itself have enough scale for four days on-property, and how close is it to a real night out. That narrowed the field to two five-star resorts sitting almost side by side on the same stretch of coast road.

Closest of the two to Colombo

A 60–90 minute drive to Colombo's clubs and rooftop bars — the Day 2 night out is a proper evening, not an expedition.

Sri Lanka's first resort hotel, designed by Geoffrey Bawa and opened 1967–69, refurbished in 2019 — a real story to tell the group, not just another beach resort.

Right at the river mouth

Sits where the Bentota River meets the ocean — water sports and the Beach Olympics happen within walking distance of the rooms.

Ballroom plus dedicated breakouts

Grand ballroom for up to 300, and three separate breakout rooms already inside the quotation for department-wise kickoffs.

Cinnamon Bentota Beach stays on the table as a strong, characterful alternative if Anantara's room block doesn't clear for these dates.

Room counts, ballroom capacities and driving distances are the properties' own published figures and standard driving-time estimates; actual drive time will vary with traffic, especially on the Colombo run at night.

Rather than the resort's stock activity, bring in a specialist facilitation team to run the Day 2 morning — problem-solving formats built for 200+ people, run in English by facilitators used to a senior audience. We can quote this against the sample deck already shared, scaled from their 35-pax rate to 220.

Day 1 gala & Day 2 club night

Fly in a DJ from India

The land package already includes a resident DJ and free-flow bar for the gala. Flying in a name DJ from India for the gala and/or the Colombo club night lifts both nights from "hotel event" to "the thing everyone posts about" — return airfare, fee and local logistics quoted separately once a name and date are locked.

Both are additive to the land package below, not baked into it — happy to firm up costs on either the moment SaaS Labs wants to move on one.

Arrivals, transfers & visa

Morning-landing arrivals

Bengaluru and Delhi both have a red-eye option (landing 5:00–5:15 AM) and a mid-morning option (landing 10:30 AM–12:30 PM). Booking a mix of both across the group — rather than one flight per city — keeps every coach batch landing before the lunch cut-off. The Poland group is the long-haul leg (typically routed via Dubai, Doha or Colombo directly); we're getting a same-morning arrival option confirmed with the airlines and will slot it into the same coach-batch plan.

Coach transfers

A/C coaches, 40 pax each, each with an English-speaking national guide and water on board — already costed into the land package. For 220 pax that's roughly 5–6 coaches, staggered by arrival batch on Day 1 and run together for the Colombo club night and the Day 4 airport drop.

Visa: free for both Indian and Polish passport holders

Sri Lanka's ETA is free of charge, 30-day validity, double-entry, for both Indian and Polish nationals with effect from 25 May 2026 — so both nationalities in this group travel on a free e-visa, applied for online before departure. No visa fee to budget for either market.

Bengaluru and Delhi fares are from the fare set already shared for this group and are tentative until seats are blocked; because they were quoted against different travel dates, we're re-validating them against 25–28 Feb 2027 before these go final. Poland fares are being sourced directly and will follow.

Excludes: the DJ flown in from India, the specialist team-building facilitator, gala décor upgrades, and any experience add-ons beyond what's listed in the Day 3 itinerary. Happy to cost any of these in as a firm line item. INR figures use an indicative rate of approx ₹96 = US$1 and will move with the market.

TIMING MATTERS

Availability — act early

Peak season

Late February is peak season for European travel into this stretch of coast, and we're looking to hold roughly 80–85% of a single property's room inventory for this group.

Neither resort will block 200+ rooms on a speculative basis at this time of year — availability can only be confirmed once SaaS Labs picks the resort, and the earlier that decision lands, the better the room count and rate we can protect. This is the one item on this proposal that's genuinely time-sensitive.
